Vacation rental owner statements: what they need to show

What a vacation rental owner statement should show for each stay: revenue, channel fees, commission, charges, owner stays, reserve and payout.

A vacation rental owner statement needs to show, for each stay in the period, what the guest paid, what was deducted and why, and how that arrives at the amount paid to the owner. If an owner can trace the payout back to individual bookings without phoning you, the statement is doing its job.

Everything else is presentation. What matters is the content below, presented the same way every month.

The lines an owner expects to see

  • Each stay: guest name or reference, arrival and departure dates, nights, and the booking channel
  • Gross rental revenue for that stay, separated from cleaning fees and taxes collected from the guest
  • Channel fees or commissions taken by the listing site, shown per stay
  • Your management commission, with the base it was calculated on
  • Cleaning, linen and maintenance charges, each with a date and a short description
  • Owner stays and blocked dates, shown even though they earn nothing, so the calendar adds up
  • Any reserve held back for repairs, with the opening balance, movement and closing balance
  • The payout amount, the date it was sent, and any balance carried forward

The commission base deserves care. Whether commission is calculated before or after channel fees, and whether cleaning fees are included, should follow the management agreement. The statement should make the base visible so nobody has to infer it.

Which month a stay belongs to

Decide one rule for stays that cross a month end and for bookings paid well before arrival, then hold to it. Owners compare statements with their bank account and with the listing site's own reports. If you report by check-out date one month and by payment date the next, the numbers will never reconcile and every question becomes a long email thread.

State the rule on the statement itself in one line. Do the same for refunds and cancellations: show the original booking, the refund and any fee retained, and do not quietly net them off.

Trust accounting rules vary, so check yours

Money held on behalf of owners and guests may be subject to rules about separate accounts, record keeping and how quickly funds must be paid out. Those rules differ by country, by state and sometimes by licence type, and we are not going to tell you what yours say. Ask your accountant or the body that regulates property managers where you operate. Then make sure the statement format gives them the records they expect, such as a ledger per owner with a running balance.

Why statements end up in spreadsheets

Property management systems produce owner statements, but the built-in format is designed for the general case. A manager ends up exporting to a spreadsheet when the agreement has something the template does not handle: a commission that differs by channel, a split between two owners, a maintenance markup, a reserve, or a charge that must be spread across several properties.

The spreadsheet works, but it is rebuilt by hand every month and errors in it are errors in someone else's money. When the statement is the reason to change
